About this role
Primary Responsibilities • Provide phone coverage for the General Manager and other staff as needed.
• Fax, copy, and prepare documents for distribution, mailing or delivery by messenger.
• Prepare reports as requested by the Senior Executive Assistant and the General Manager.
• Transcribe dictation.
• Provide coverage to the General Manager when Senior Executive Assistant is out of the office.
• Perform other duties as required by the Sr. Executive Assistant.
• Order and maintain general office supplies.
• Retrieve packages from Stage Door or Front of House.
• Expedite customer complaints. Forward or respond as needed.
• Greet and escort visitors from Stage Door or Front of the House. Offer hospitality services to General Manager’s guests as needed.
• Assist Sr. Executive Assistant with tasks and ensure all functions are covered.
Skills and Qualifications • Prior Administrative Assistant experience.
• Knowledge of opera and/or experience in a non-profit environment.
• Completion of a Bachelor’s degree; working towards a Master’s degree.
• Possess strong interpersonal, communication, and administrative skills.
• Excellent project management skills and able to prioritize multiple projects.
• Proficient in MS Word, Excel, Outlook, and Internet Explorer.
Physical Demands • Must have neat and legible handwriting.
• Must be able to work evenings and weekend shifts. Must be flexible to accommodate last-minute changes in schedule.
• Ability to handle multiple tasks simultaneously.
• Ability to type at a moderate speed.
• Ability to take dictation.
• Ability to work occasional after-hour events.
• Excellent organizational skills and attention to detail.
