About this role
Accountabilities • Manage individual employee leave cases from initiation through closure using designated leave-management technology, ensuring compliance with applicable federal, state, and local regulations and internal policies.
• Review leave requests, eligibility requirements, accrued balances, documentation, and applicable leave provisions to determine appropriate next steps.
• Serve as the primary point of contact for employees throughout the leave process, providing clear, timely, and compassionate communication.
• Coordinate with healthcare providers, HR partners, legal teams, and other stakeholders to obtain, review, and validate required documentation.
• Submit required documentation through applicable state leave portals and respond promptly to inquiries and requests for additional information.
• Monitor case timelines, track claim progression, follow up on extensions, and coordinate return-to-work plans.
• Maintain accurate timekeeping and absence records in Workday and/or UKG, including leave usage, coding, and pay-related information.
• Respond to employee questions and concerns regarding leave eligibility, pay, benefits, timekeeping, and related policies.
• Monitor leave-management systems for new notifications or documentation requests and take appropriate action within required timelines.
• Maintain complete and accurate case records to support audits, reporting, compliance, and operational tracking.
• Partner with employees and managers to facilitate smooth returns from leave and ensure return-to-work dates are accurately recorded.
• Escalate complex, overlapping, accommodation-related, or otherwise sensitive cases to appropriate senior leave or ADA specialists according to established guidelines.
• Meet established service-level expectations for case processing, documentation turnaround, follow-up, and employee communication.
Requirements
• Bachelor’s degree in Human Resources, Business Administration, or a related field; alternatively, an associate degree plus 2 years of relevant experience, including at least 1 year of leave case management experience; or a high school diploma/equivalent plus 4 years of relevant experience, including at least 1 year of leave case management experience.
• Knowledge of leave administration, HR operations, benefits, HR service delivery, and HRIS processes.
• Familiarity with federal and state leave and disability regulations, including FMLA, ADA, paid family and medical leave, parental leave, workers’ compensation, and applicable state or local requirements.
• Experience managing complex leave situations, such as intermittent leave, extensions, or accommodation-related cases, is preferred.
• Experience with Workday, UKG Timekeeping, or leave-management platforms such as Pulpstream or AbsenceSoft is preferred.
• Familiarity with Massachusetts Paid Family and Medical Leave is advantageous.
• Strong analytical and problem-solving abilities, including the ability to interpret eligibility rules, documentation, leave balances, and applicable policies.
• Excellent written and verbal communication skills with a strong customer-service orientation.
• Demonstrated ability to manage sensitive and confidential employee information with discretion.
• Strong organizational skills and the ability to manage multiple concurrent cases in a deadline-driven environment.
• Adaptability, curiosity, and a growth mindset, with the ability to understand the rationale behind policies and adjust as regulations and processes evolve.
• Ability to collaborate effectively, shift priorities, absorb new information quickly, and operate in a changing environment.
• Strong sense of urgency, accountability, and follow-through.
• Proficiency with Microsoft Outlook, Teams, and Excel.
