About this role
Accountabilities: • Maintain accurate case records, legal documentation, files, and correspondence throughout the life of each matter.
• Track case progress, monitor deadlines, follow up on pending items, and help ensure required actions and filings are completed on time.
• Support the Office Manager and Paralegal with daily legal operations and ongoing case administration.
• Organize legal files and coordinate with internal team members to keep active matters moving efficiently.
• Prepare case summaries, status reports, and other materials for legal teams and clients.
• Communicate professionally with inmates' family members regarding case updates, relevant information, and pending matters.
• File final legal documents and representation agreements through applicable court systems.
• Prepare legal documents using established templates and procedures while maintaining accuracy and consistency.
• Support case tracking and follow-up activities across multiple matters and competing deadlines.
Requirements
• 1–2 years of experience as a Legal Assistant or in a law firm environment.
• Strong experience filing legal documents through court systems and preparing legal documentation.
• Excellent attention to detail and strong organizational skills, particularly when managing multiple deadlines.
• Ability to prioritize tasks, monitor case progress, and consistently follow up on outstanding items.
• Strong written and verbal communication skills in both English and Spanish.
• Professional and client-focused communication style, including the ability to communicate clearly with clients and family members.
• Ability to work independently, take initiative, and remain proactive in a fast-paced legal environment.
• Strong time management, case tracking, and follow-up skills.
• Experience with Clio is preferred.
• Clear and professional speaking voice.
• Familiarity with legal technology and tools such as Clio Grow, Clio Manage, Cadence Consult, RingCentral, Google Workspace, and LawPay is relevant to the role.
• Availability to work Monday through Friday from 8:00 AM to 5:00 PM Eastern Time.
