About this role

Accountabilities • Provider Workload Monitoring: Monitor daily workloads across Doctors of Osteopathic Medicine (DOs) and Nurse Practitioners (NPs) using clinical management systems. Track pending consultations, patient messages, medical reviews, and outstanding clinical tasks to identify workload imbalances and potential delays.

• Patient Communication and Follow-Up: Monitor patient communication queues to identify unanswered messages and overdue clinical responses. Send timely reminders to providers, follow up on unresolved requests, and help ensure that patients receive appropriate attention within established response-time expectations.

• Escalation Management: Identify urgent or time-sensitive patient concerns and escalate them to the appropriate clinical leadership in accordance with established protocols. Monitor outstanding escalations and follow-up actions to help prevent communication gaps and delays in care.

• Clinical Operations Coordination: Serve as an operational point of contact between healthcare providers, clinical leadership, and internal support teams. Maintain visibility into pending tasks, coordinate workload adjustments, and support the consistent application of communication and escalation procedures.

• Workflow Optimization: Identify recurring operational challenges that affect provider productivity, patient response times, and service quality. Collaborate with clinical and operations teams to recommend and implement practical improvements to workflows and coordination processes.

• Performance Monitoring and Reporting: Track key operational metrics, including average patient response times, unanswered or overdue messages, workload distribution, pending clinical tasks, escalation volumes, and resolution times. Prepare concise reports highlighting operational risks, delays, and opportunities for improvement.

• Operational Insights and Recommendations: Use performance data to identify trends, evaluate provider capacity, and recommend adjustments that improve workload management and patient satisfaction. Help leadership maintain clear visibility into clinical operations and service performance.

• Service Quality and Patient Experience: Contribute to reliable, timely, and coordinated patient support by ensuring clinical requests are monitored and appropriately routed. Help reduce delays, strengthen accountability, and support consistent service delivery across a remote provider network.

• Remote Team Collaboration: Work independently while maintaining clear communication with distributed clinical and operations teams. Proactively flag issues, manage competing priorities, and contribute to the operational scalability of a growing virtual healthcare service.

Requirements

• Clinical Qualifications: A Nurse Practitioner degree and relevant professional background are required. An active U.S. Nurse Practitioner license is preferred and is required if the responsibilities include activities that constitute clinical practice.

• Relevant Experience: Previous experience in telehealth, virtual care, clinical operations, or a similar healthcare coordination environment is strongly preferred.

• Clinical Workflow Knowledge: A solid understanding of clinical workflows, provider responsibilities, patient communication processes, and appropriate escalation procedures.

• Technical Proficiency: Experience using electronic medical records (EMR), telehealth platforms, or clinical management systems to track patient requests, provider activity, and outstanding clinical tasks.

• Organizational Skills: Excellent organizational abilities and attention to detail, with the capacity to monitor multiple queues, maintain accurate records, and ensure that follow-up actions are completed.

• Prioritization and Problem-Solving: Ability to identify operational bottlenecks, recognize emerging delays, manage competing priorities, and take proactive steps to resolve issues or escalate them appropriately.

• Communication Skills: Strong written and verbal English communication skills, with the ability to communicate clearly and professionally with healthcare providers, clinical leadership, and internal support teams.

• Independent Working Style: Comfort working autonomously in a fast-paced, evolving, fully remote environment where initiative, accountability, and adaptability are essential.

• Privacy and Compliance Awareness: Familiarity with HIPAA requirements, patient confidentiality, and the importance of protecting sensitive health information in digital healthcare environments.

• Availability: Ability to work part-time during U.S. business hours and coordinate effectively with providers and operational stakeholders across remote teams.

Preferred qualifications include:

• Experience coordinating distributed clinical teams or supporting remote healthcare providers.

• Familiarity with weight management, metabolic health, or subscription-based telehealth services.

• Experience monitoring clinical service-level agreements (SLAs), patient response-time targets, or other operational performance indicators.

• Experience developing operational dashboards, tracking provider productivity, or preparing performance reports.

Benefits

• Flexible Part-Time Opportunity: A part-time role that allows you to apply your clinical expertise in an operational capacity rather than focusing primarily on direct patient care.

• Fully Remote Work: Work remotely from an approved location within the United States.

• Meaningful Healthcare Impact: Help improve patient communication, provider efficiency, and the reliability of virtual healthcare services.

• Collaborative Environment: Work closely with clinical providers, clinical leadership, and operations teams in a distributed, remote-first setting.

• Professional Growth: Gain experience in clinical operations, telehealth service delivery, performance monitoring, and healthcare process improvement.

• Ownership and Autonomy: Contribute directly to operational improvements in a fast-growing environment that values initiative, accountability, and practical problem-solving.

• Innovation and Scalability: Help strengthen the systems, workflows, and coordination processes needed to support a growing virtual care platform.

• Compensation and Additional Benefits: Salary, healthcare coverage, paid time off, retirement benefits, and other employment perks have not been specified in the available job description and should be confirmed during the hiring process.
