About this role

About the Role: Somewhere out there, a group of friends has been talking about a Bandon trip for ten years. Another crew has made the trip every fall for as long as anyone can remember, and they expect it to be just as good as last year. A tournament organizer is counting on every detail being right. As a Groups Coordinator at Bandon Dunes Golf Resort, you're the person who turns those plans into a trip that actually happens the way they pictured it. You'll be their go-to contact from the first phone call to the final bill, pulling together lodging, tee times, dinners, and all the small details in between, so the person organizing the trip can finally relax and enjoy it too.

About Bandon Dunes Golf Resort: Bandon Dunes is a world-class golf resort located on the Oregon Coast near the charming community of Bandon. Guests come to experience golf as it was meant to be at Bandon Dunes' six distinct golf courses. That includes five 18-hole courses, which all rank among the top 16 public courses in the United States, according to Golf Digest. The resort also has an award-winning par-3 course, Bandon Preserve, and Shorty's opened in 2024. The two short courses are 'Courses with a Mission,' with all net proceeds funding the Bandon Dunes Charitable Foundation. The Foundation supports communities along the South Coast of Oregon.

Beyond premier golf, guests delight in various dining options at Bandon Dunes’ collection of restaurants. Whether you're looking to enjoy locally sourced, Pacific-Northwest cuisine accompanied by an award-winning wine list or prefer kicking back in a Scottish-style setting with traditional pub fare and local microbrews, there is something for everyone.

Working at Bandon Dunes is a dream for golf fans, outdoor enthusiasts, and hospitality professionals alike. The Bandon Dunes team works together to create trips of a lifetime for our guests. We are passionate stewards of our resort, community, and environment. As an endlessly curious group, we ask questions, share ideas, and always look for a better way. With a hard-working attitude, we help guide our guests through their pure golf experience, immersed in Oregon’s natural beauty and away from the demands of daily life.

What You'll Do: • Be the go-to person for your groups. From the first inquiry until the group heads home, you're their main point of contact. You'll answer questions, send confirmations and itineraries, and follow through on what you promised, so organizers always know where things stand and who to call.

• Pull the whole trip together. Lodging, tee times, transportation, activities, and dining all have to line up. You'll coordinate those pieces, keep group records accurate in our property management system, and help maintain the annual outings calendar so nothing falls through the cracks.

• Keep the money straight. You'll process and track deposits, payments, and charges for your groups, reconcile accounts, review final statements, and collect final payments on time. A clean, accurate bill is the last impression a group takes home, and it matters.

• Work as one Groups & Events team. You'll cross-train with our Event Liaisons and help with event documentation, guest correspondence, BEOs, and event schedules. When the team is busy, you'll pitch in where you're needed while keeping your own groups on track.

• Show off the resort and look for better ways. You'll lead property tours for prospective clients, share what Bandon Dunes has to offer, and help with special requests like custom merchandise. You'll also look at guest feedback and suggest improvements that make the next group's trip even smoother.

What Makes You a Great Fit: • You've helped people plan something that mattered to them. About a year of experience in group or event coordination, hospitality, customer service, or related training is what we're looking for. Golf industry experience is a plus, but it's not a requirement.

• You're organized and you notice the details. You can keep several groups moving at once, each with its own dates, headcounts, and requests, and you're comfortable managing your own priorities without someone checking in every hour.

• You're comfortable with numbers. You can process payments, reconcile accounts, and catch an error on a statement before a guest does. Accuracy with financial information is a big part of this job.

• You communicate clearly and build good working relationships. You write a professional email, stay calm when plans change, and work well with chefs, managers, and teammates across the resort. When a guest has a concern, you listen, solve what you can, and know when to bring in help.

• You're comfortable with technology and eager to learn. You know your way around Outlook, Word, and Excel. We'll train you on our property management and event systems, along with the Event Liaison side of the work.

A Few Things to Know: • Your schedule follows the groups. Hours vary based on group activity and business needs, and include evenings, weekends, and holidays.

• You’ll split your time between the office and the property. You’ll walk the property in all kinds of coastal weather to meet groups, give tours, and check on event setups. You’ll also be working near active golf courses, so expect maintenance equipment, course-care products, and the occasional errant golf ball.

• The work is active. Expect to stand and walk for long stretches (up to five hours at a time) and occasionally lift up to 50 pounds, such as event supplies or group materials.

• A valid driver's license and clean driving record are required. You'll drive resort vehicles when authorized.

• Food handler and alcohol service certifications are needed for some duties. You don't need them to apply. You can get them after you're hired, and we'll point you in the right direction.

Perks and Benefits For Full Time Employees: • Comprehensive Benefits Package: Enjoy a well-rounded benefits package that covers your health, wellness, and financial future.

• Paid Time Off: Take the time you need to relax and recharge with our PTO plan.

• Free Golf Privileges: Tee off at some of the most iconic courses in the world with complimentary golf access.

• Quarterly Incentives: When our team meets resort-wide performance goals, we get rewarded.

• Complimentary Lunch: Stay energized with a complimentary lunch in our Staff Cafe during your shift.

• Resort Discounts: Save on dining and merchandise throughout the resort.

• Supportive Work Environment: Be part of a team that supports your growth and success, with opportunities to thrive in a collaborative atmosphere.

• Career Growth: Take advantage of continuous training and development opportunities to advance your career.

If you love the feeling of seeing a plan come together and want to help groups experience the trip they've been dreaming about, we'd like to hear from you. This role reports to our Groups & Special Events Manager and offers the chance to be part of some of the most memorable trips our guests will ever take.

At Bandon Dunes Golf Resort, we are proud to be an equal-opportunity employer. We value diversity and are committed to creating an inclusive environment for all employees.
