ABOUT THE ROLE

We’re hiring a Recruiting Coordinator to help scale how Poetic hires. This role sits at the center of our recruiting process — ensuring candidates move quickly, interviews are tightly run, and every touchpoint reflects a high bar.

This is not a purely administrative role. You’ll be expected to operate with ownership, make judgment calls, and help enforce structure across the hiring process. You’ll work closely with recruiters, hiring managers, and leadership, often coordinating across executives and high-priority candidates.

The right person will bring strong attention to detail, clear and warm communication, and the confidence to make proactive improvements to the process.

NOTE: This role does involve longer hours Generally 9am to 9pm PT, six days a week (Monday through Friday, plus Sundays). Sundays tend to be lighter, but you should still be reachable for occasional pings. This is what everyone in the company is working as well.

That said, the expectation isn't that you need to be in the office that entire time. Expectation is being in the office during regular business hours Mon-Fri, and other hours can be from home - evenings are more about being available to respond if a candidate or internal interviewer reaches out - not constant work. The outcomes are the important thing though, no one's tracking hours.

You're welcome to shift the window earlier or later based on your preferences, as long as the coverage is there.

Responsibilities

- Own interview scheduling across multiple roles and stakeholders via email and slack

- Act as the primary point of contact for candidates throughout the interview process

- Deliver a high-quality, responsive candidate experience

- Partner closely with recruiters and hiring managers to keep processes moving with urgency

- Coordinate complex scheduling across executives and cross-functional teams

- Maintain accurate and up-to-date data in Ashby (ATS)

- Identify inefficiencies in the recruiting process and proactively solve them

- Help enforce consistency and structure in interview processes and feedback loops

- Push back when needed on timelines, expectations, or unclear inputs

Some Attributes You Should Have

- The most important attribute is never dropping a ball - you should be paranoid and make sure that every email from a candidate is responded to and handled properly

- 1-2 years of experience in recruiting coordination or a similar communications role

- Strong organizational skills and attention to detail

- Clear, professional communication and executive presence

- Ability to manage multiple workflows and messages simultaneously without dropping details (you will have 100s of messages to respond to every day, so you should be very on top of everything)

- High ownership and reliability — you follow through

- Comfort operating in a fast-paced, high-expectation environment

- Willingness to push back and uphold a high bar

Nice to Have

- Experience working with an ATS (we use Ashby)

- Experience at a high-growth startup or fast-paced environment

- Exposure to recruiting operations or process improvement work

- Experience supporting executive-level scheduling
