Job Title Executive Orchestrator to CEO
Location Remote
Time Zone US Eastern (ET) preferred; must overlap core ET working hours
Role Overview You are the CEO’s right hand—owning the weekly cadence, converting chaos into execution, and ensuring follow-through across three businesses. This is a high-trust “XA” role that blends Executive Assistant / Chief of Staff support with hands-on marketing operations (CRM, email automation, content scheduling) to keep growth initiatives moving.
Key Responsibilities
- Run the CEO’s operating rhythm: calendar, priorities, weekly planning, daily check-ins, and task triage
- Capture CEO “brain dumps” and translate them into clear deliverables with owners, deadlines, and next actions
- Build lightweight systems that keep work moving: templates, recurring checklists, meeting notes → tasks, escalation paths
- Own marketing ops execution where needed: CRM hygiene, tagging, lead routing, email sequences, and follow-up automation
- Coordinate campaign and content rollouts across the portfolio (including Spray Foam podcast + CoveCasa campaigns)
- Enforce accountability with operators and partners; surface blockers and drive closure without CEO micromanagement
- Produce a weekly portfolio scorecard (marketing + sales KPIs + project milestones + risks)
Required Qualifications
- 5+ years supporting a founder/CEO in an EA, Chief of Staff, or Execution Partner capacity
- Proven ability to “run the machine” day-to-day: planning cadence, task systems, and consistent follow-through
- Hands-on experience with marketing ops execution (CRM workflows, email sequences, funnels, basic copy support)
- Strong project management skills (ClickUp/Asana) with a track record of shipping outcomes in fast-paced environments
- Daily AI user who improves speed/quality (SOP drafting, campaign drafts, meeting notes → tasks, automation planning)
- Non-negotiable: Prior remote work experience; fluent with remote collaboration tools (Slack, Zoom, Google Workspace, Asana/ClickUp or similar) and ideally experience working with US or UK-based companies—applications without this will not be considered.
Preferred Qualifications
- Experience supporting multi-business operators or a small portfolio
- Automation tooling (Zapier/Make) and dashboarding (Airtable/Sheets)
- Comfort communicating across “luxury investor” and “blue-collar ops” audiences
Tools & Technology ClickUp/Asana, Google Workspace, Slack/Zoom, CRM (HubSpot/GoHighLevel/Salesforce or similar), Airtable/Google Sheets, Zapier/Make, AI tools for writing/automation (e.g., ChatGPT)
